Council on Aging Communications Policy and Procedure
Sponsorships
Beginning Jan. 1, 2008, Council on Aging of Southwestern Ohio will have a new process for organizations that are requesting event sponsorships.
There are many worthy events and programs that seek our support. We must use funds judiciously to help fulfill the mission of our agency: “to enhance the lives of adults by assisting them to remain independent at home through a range of quality services.”
We are eager to support a variety of events that enhance this mission and build awareness of organizations that serve older adults whether the target audiences are seniors, caregivers, professionals in the field of aging or the general public.
Following is the process for a COA sponsorship:
- Organizations seeking COA sponsorship must submit an application form and signed Memorandum of Understanding (MOU). The MOU states what your organization agrees to do for COA as part of our sponsorship agreement. This includes, but is not limited to, as appropriate: exhibit space, display board announcing COA sponsorship, recognition in program, presentation at event by COA staff member, mention in news releases; and discounted or free admission for COA staff
- Applications and MOUs are due to the COA Executive Assistant, Mary Gonnella, no later than June 1 for events that are scheduled for any time between Oct. 1 and Sept. 30 (The COA budget year). For example, applications must be received by June 1, 2008 for events to be held between Oct. 1, 2008 and Sept. 30, 2009.
- Sponsorship applications shall be reviewed and decisions made by a selection committee and the Council on Aging CEO. The committee will make sponsorship selections within six weeks of the application deadline.
- Following that meeting, applicants will be notified by letter. Those who receive COA sponsorships will also get a return copy of their MOU signed by the Council on Aging CEO or Chief Operating Officer. Checks will be sent within approximately one month prior to the event.
- Within 30 days after the event, organizations agree (as part of the MOU) to submit an evaluation form to COA.
Council on Aging will be pleased to consider your requests for funding. A 2008-09 application, MOU, and Evaluation Form are available in PDF format.
